You may be able to claim reimbursement of travel costs incurred while attending your practice placement.

You cannot claim travel costs when attending a placement on the same base site as your university.

The daily cost of travelling to and from your placement must be more than your normal daily travel costs to and from your university.

This includes travel costs between a temporary placement address and the placement site.

If your daily placement travel or weekly return journey cost, if applicable, is more than your normal daily university travel cost, you may be reimbursed the excess cost only.

As part of your daily travel costs, you can include expenses such as:

  • car parking
  • permit charges
  • congestion charges
  • tunnel or bridge tolls

If you’re not given free transport by a tutor, you can also include costs incurred if you must travel in the community to:

  • other Clinical Placement sites
  • patients’ home addresses

We do not need individual patient addresses. You must quote the daily mileage total on your claim form.

You must use the cheapest form of transport available where it's reasonably practical to do so.

If the cheapest form is your own transport, you must claim the most direct distance regardless of it this has the quickest journey time.

The university must certify any travel claim.

The current rates used to calculate your travel costs based on your mileage are:

  • 30p per mile for a bicycle
  • 42p per mile for all motor vehicles
  • 7.5p per mile for passenger miles

Read further information about claiming on our website.

Taxis and air fares

These will only be reimbursed in exceptional circumstances.

They must be certified by the university as unavoidable or the cheapest means of travelling.

Your university must include a covering letter with your Travel and Dual Accommodation Expenses (TDAE) form to confirm.

Receipts must be included in your claim.

Reimbursement of taxi fares will normally be limited to the maximum motor vehicle rate.

Air fares can only be claimed for internal flights within the:

  • UK
  • Channel Islands
  • Isle of Wight
  • Isle of Man

Your claim does not take into account how many days per week you’re on placement, only the daily travel cost.

You must claim the cost of one return journey each week between your normal term time address and your temporary accommodation whilst you’re on placement.

A reimbursement towards these travel costs can only be considered if the total return journey travel cost to and from your placement is more than your normal daily travel cost to and from university.
