When submitting a claim on the system, you must confirm:
- the employee's name
- the employee's National Insurance number
- the employee's job title
- the date of payment
- the date the course or qualification started
- training is eligible
You must also provide evidence including:
- proof of payment if making a 60%, 100% claim, or claiming for external Oliver McGowan Mandatory Training (OMMT)
- proof of completion if making a 40% course completion claim, 100% claim, or claiming for internal OMMT
In some cases, proof of payment may also be needed for a 40% claim.
Each piece of evidence must be:
- in PDF, JPG or PNG format
- no larger than 2MB
- an original document
- clear and in focus
- in colour
- not cropped, it must show the whole document and not just part of it
- not altered by computer software
Each document can be accepted as a scanned image or photo.
If a document is password protected or encrypted, the system will not accept it.
Proof of payment
The evidence must confirm:
- the course or qualification name
- the training provider or awarding body name
- how much they paid
- the payment date
- the name of the care provider making the payment
- the name of the training provider receiving the payment or issuing the invoice
If you paid in more than one instalment, you must provide evidence of the total cost.
If you paid for more than one learner in one transaction, this will be accepted if the invoice has a breakdown of the total payment for separate learners or courses.
Up to 4 separate documents can be uploaded for proof of payment if a single document does not show all the information needed.
An invoice alone does not show you've paid. You must also send a receipt for proof of payment.
If you’re sending a bank statement, you must remove any information not relevant to your claim.
Evidence for internal training claims can include either:
- proof of payment to an awarding organisation for learner registration and certification fees
- proof of payment to a third-party training subsidiary
Care provider has paid 60% of full training cost to training provider
In some cases, organisations have an agreement with the training providers where they pay only 60% of the course costs upfront rather than 100%.
In these instances, you must provide evidence where the full costs of the course are shown on the payment evidence and we can see they've paid 60% only.
If you've paid 60% but the full costs are not shown on the payment evidence, these claims will be rejected. You must update your claim to show total costs of the course on the payment evidence.
When these claims are approved, an email is sent confirming we need evidence of payment for the remaining 40% when you submit the 40% claim on completion.
Proof of completion
LDSS claims
The dated certificate of completion must include:
- course or qualification name
- learner name
- unique learner number or candidate registration number if applicable
- name of awarding organisation
- name of training provider or learning centre
This must show on a single document.
If the employee failed the course and did not receive a completion certificate, we must see evidence the course was completed.
There is no defined list so you must give any evidence you have confirming the course was completed. The processing team will advise if the evidence is acceptable.
OMMT claims
The dated certification of completion must include:
- learner name
- course name
- date of completion
- approved trainer name and number
- approved trainer signature
